Introduction

Claimsure Slainte Ireland – SureMed only retains information for long enough to enable the business
process for which it is intended. In the case of medical reports, this is the short time from receipt by
SureMed to it being downloaded and made available to the requester’s process (eg. insurance new
business).

Medical reports in PDF format are encrypted and stored in SureMed’s vault database for additional
security.

All Medical reports will be automatically and permanently deleted from SureMed after a short
period once downloaded. SureMed will not keep a copy in any format.

Phases:

  1. CSIs – SureMed’s data retention policy for SureMed is being implemented in phases.
  2. The Initial phase covered Medical Reports.
  3. The current phase covers PID (Personally Identifiable Data) information.
  4. A Final phase will cover other data like consent forms, tasks and notes and is yet to be
    scheduled.

Policy Outline:

The following is the current policy definition. Please note that Claimsure Slainte Ireland reserve the
right to change it and give due notice to the affected parties.

Medical Reports will be deleted the sooner of:

  1. 14 Calendar days after the report has first been opened or downloaded by the requester;  Or
  2. 60 calendar days after the report has been received by SureMed (note that in this case you
    will be emailed 30 days after receipt of the report to remind you of the deletion).

PID will be removed automatically and permanently deleted from SureMed after a defined period of

  1. 12 months after whatever the latest of the following is;
  2. Request last modified (i.e.: in case of drafts)
  3. Request Submitted
  4. The last document added to the vault.

The following PID will be removed;

  1. Name including salutations
  2. Date of Birth
  3. Gender
  4. Address
  5. Contact Details
  6. Employer
  7. File Names (as it often includes the patient’s name)
  8. Request notes and instructions

Following the removal of PID, you will not be able to perform the following actions on historical
requests;

  1. View full request details
  2. Clone a request
  3. Reassign a request
